Civil Service Jobs privacy notice

This notice explains how the United Hampshire Government Civil Service Jobs recruitment service handles applicant information.

Who operates this service

The recruitment service is operated by the United Hampshire Government through the Cabinet Office and the employing organisations named in each advert. For requests about your information or the service operator, use GOV.UH contact. See also the general GOV.UH privacy notice.

Information collected

When you create an account we collect your email address and a protected password record. Applications may contain your name, experience, qualifications, evidence against the selection criteria, optional requests for reasonable adjustments, correspondence, submission and withdrawal history, and recruitment decisions. Security and service records may also be kept to protect accounts and investigate errors or misuse.

Do not send bank details, identity documents, medical diagnoses or other sensitive information unless the relevant recruiting organisation specifically explains why it needs it and how to provide it securely. Requests for reasonable adjustments are optional and should contain only what is necessary to arrange them.

How information is used and who can see it

Information is used to manage accounts, receive and assess applications, communicate decisions, arrange reasonable adjustments, prevent misuse and maintain accountable recruitment records. Access is restricted to authorised recruitment users within the relevant employing organisation and those with legitimate administration responsibilities. A separate personnel record may be needed only after an appointment is authorised.

Application information is not published as part of vacancy listings.

Storage, retention and security

Recruitment and account information is kept on the service's hosted systems and protected by access controls. It is retained for the competition, necessary follow-up, complaints, security and record-keeping, and then reviewed for deletion or anonymisation under the applicable retention arrangements. Withdrawal of an application does not automatically delete the record of the recruitment process.

Access, correction and removal

You can view your submitted applications through your account and withdraw eligible applications. Contact GOV.UH if you want to ask what information is held, correct it, raise a privacy concern, or request deletion where applicable. You can also use the account recovery process if you cannot access your account.
